Role Overview: Lead Manager / Appointment Setter

As our Lead Manager / Appointment Setter, you will manage all incoming leads, nurture prospects, maintain CRM accuracy, and schedule appointments for the sales and project teams. You'll serve as the first point of contact for potential clients while ensuring timely follow-up, accurate documentation, and consistent communication.


You'll work closely with leadership, sales, marketing, and operations to ensure leads are handled efficiently and customer experience remains exceptional.


This role requires strong communication skills, attention to detail, and the ability to manage multiple priorities while maintaining a professional and positive demeanor.


Key Responsibilities

Lead Management & Appointment Setting

  • Manage all incoming leads from multiple sources (website, social media, ads, email, phone, etc.)
  • Respond promptly to new inquiries via phone, email, and text
  • Qualify prospects and gather required information
  • Schedule appointments and consultations with sales or project teams
  • Follow structured lead follow-up processes and nurture prospects
  • Ensure all lead data is properly documented in the CRM
  • Track lead progress and ensure no opportunities remain uncontacted

CRM & Pipeline Management

  • Maintain CRM records daily, ensuring all deals reflect current status
  • Track lead pipeline progress and set reminders for follow-ups
  • Communicate with deal owners and project teams for status updates
  • Monitor lead flow and assist with reporting and performance tracking

Customer Service & Communication

  • Serve as the first point of contact for prospective customers
  • Provide professional and timely responses across communication channels
  • Address questions, resolve concerns, and escalate issues when needed
  • Coordinate communication between customers, sales, and operations

Qualifications

  • Experience in lead management, appointment setting, inside sales, or customer service
  • Strong written and spoken English communication skills
  • Experience using CRM systems (HubSpot, Salesforce, GoHighLevel, Pipedrive or similar)
  • Strong organizational and time management skills
  • Comfortable managing multiple platforms and communication channels
  • Ability to work efficiently in a fast-paced environment
  • Experience in roofing, construction, or home services is a plus but not required

Compensation & Schedule

  • $8 to $12 per hour (based on experience)
